The purpose of this area is to structure and choreograph an entertainment package befitting the Opening and Closing Ceremonies for the BC Seniors Games. Performers for all entertainment are usually chosen through the auditions of local citizens of all ages and areas of interest.

The purpose of this area is to establish a "focal point" of activities in the Host Community for the general public and participants, during the Games. The "Village" may serve as an opportunity for local sport groups, and businesses that support the Games, to advertise their products, services, etc. to the public. The "Village" can also provide a showcase for cultural activities such as arts & crafts displays and demonstrations tours and entertainment etc.

The purpose of this area is to coordinate the Parade of Participants into the Opening and Closing Ceremonies from the Marshalling venue. This will include arranging for a Marshalling Area to receive Games Participants and placing them into marching order as established by the Ceremonies Directorate. The Floor Marshalling area of responsibility is to ensure the Participants and Dignitaries enter and exit in a coordinated, organized manner for both Opening and Closing Ceremonies.

The purpose of this area is to develop Special Events during the Games. These Events should be planned for Thursday and Friday evenings. Special Events are open to all Participants and non-Participants.

The purpose of this area is to assist other Directors in recruiting volunteers. This will include: allocation of recruited volunteers to appropriate Directorates; and recognition of volunteers through a Volunteer Appreciation Event following the Games.

The purpose of this Chair area is to develop a program that will encourage local businesses to contribute cash and value-in-kind to the Games, and to develop a system to accommodate the Request Forms from the Directorate Liaisons. These Request Forms will indicate any CASH contributions that Directorates require for essential components of the Games. These Request Forms will have been reviewed and approved by the Director responsible. The Recruitment - Cash Chair will forward names of cash contributors to the Recognition - FOG Chair to ensure recognition is provided commensurate with contribution.

The purpose of this area is to establish an effective Games Medical Clinic meeting the needs of Games participants. This will include identifying, equipping and staffing a suitable location during the Games.

The purpose of this area is to provide adequate First Aid coverage to all Games participants at Games venues. These venues will include the Accreditation Centre, Sport venues, the Torchlighting Ceremony (100 days in advance of Games), the Opening Ceremony/Closing Ceremony, all Special Events (dances, etc.), and the Games Village. Ambulance coverage is suggested for the following venues: Opening Ceremony, and "high incident" Sport venues.

The purpose of this area is to produce the souvenir program. Duties will include developing editorial, selling advertising space (some space will be pre-sold through support by the corporate partners) and developing a strategy for pre-Games distribution of the Program to the public.

The purpose of this area is to raise the awareness in your Community about the Games in general and specific Games events. In addition this chair should promote recruitment of volunteers; produce the Games Newsletter and determine a plan for frequency of production (suggest January/March/June); encourage spectators to attend Games; prepare a photo history of your community's Seniors Games that will be passed on to future host communities; work with your local BC Seniors Games Society Zone Public Relations Chair in the coordination and distribution of information.

Media Liaison Yes

The purpose of this area is to establish a strategy for souvenir sales prior to and during the Games. This will include being aware of all pre-Games promotional events, establishing "retail" outlets within the community and maintaining adequate inventory control of all souvenirs.

The purpose of this area is to provide the Public Relations Chair with photographs, as needed, for promotional pieces, the Souvenir Program Chair with photographs for the Souvenir Program, action shots of competition for every sport, and all medal winning athletes with photos commemorating their Medal Presentation Ceremony.

The purpose of this area is to create a local Web Site for the host community and link that Web Site to the BC Games Home Page. The local Web Site will be the source of local Games information as well as competition results during Games weekend.

This area is to arrange for registration of, and provide hospitality to, all Games In-Town and Out-of-Town Guests. This will include sending invitations to all Guests (Provincial Government Representatives and Provincial level Corporate and Funding Partners will receive their invitations through the BC Games office in Victoria, coordinating RSVP's from Provincial Government Representatives and Corporate Partners with BC Games Staff, preparing Registration Kits and Gifts for Out-of-Town Guests, arranging accommodations for Out-of-Town Guests and Media, preparing and staffing a Guest Registration table at the Hotel Headquarters, establishing and staffing hospitality suites for Guests, and preparing itineraries for Out-of-Town Guests.

This area is to recruit, coordinate and schedule the activities of a pre-determined number of men and women in your community to serve as Hosts to the BC Seniors Games. There are three types of Hosts to consider. Firstly, there is the Guest Host whose primary responsibility will be to escort BC Seniors Games Guests to a variety of Games functions. Secondly, Sport Hosts will take an active role at pre-selected Sport venues during the Games, serving as information sources (about the Games and the community) to Games participants and the general public, and to assist in the distribution of box lunches on the Thursday and Friday of the Games. Thirdly, Hospitality Hosts may be utilized prior to the Games by assisting at assorted socials and receptions. During the Games, they will be involved in registering the Games Guests upon their arrival at the Games and in staffing the Guest Hospitality Suite.

This area prepares all aspects of the Medal Presentation Ceremonies. This will include chairing a Committee of Medal Coordinators (one representative for each Sport), selecting suitable "March on and March off" music, packaging and distributing medals, scheduling Medal Presenters, etc.

The purpose of this area, in cooperation with other Games volunteers and staff, is to coordinate the following events: Organize a Key Volunteer Rally event and reception for approximately 150 Key Volunteers (Directors and Chairs). This event is scheduled to take place in December or January; Organize reception aspect of Office Opening to take place in March; Organize reception which follows Torchlighting Ceremony held approximately 100 days from the start of the Games; Organize a Host Society Reception to follow the Opening Ceremony on the first day of the Games; Briefings for In-Town and Out-of-Town Guests prior to Torchlighting, Opening & Closing Ceremonies.

The purpose of this area is to ensure that sport equipment required is available to all events scheduled for your BC Seniors Games. This will include inventorying all available equipment in your community, borrowing, renting or purchasing equipment as determined, and establishing a distribution system of all equipment to the respective Sports Note: there is one volunteer identified for each Sport to coordinate all preparations for his/her sport. This person is known as the Sport Chair and your Committee will work extensively with him/her to ensure all his/her sport equipment needs are met.

The purpose of this area is to ensure that all sport facilities are upgraded and/or prepared to the level befitting the BC Seniors Games competition. This will include reserving, in writing, the use of identified sport facilities for competition purposes, monitoring the progress of sport facilities' preparations by the respective owners (to include School Board, City Recreation or Private), and ensuring all sport facilities are returned to their pre-Games condition, where necessary. This will undoubtedly mean working on a cooperative basis with the Sport Chair. The Sport Chair is a volunteer identified for each sport to coordinate all preparations for his/her sport.

The purpose of this area is to establish two separate Courtesy Car systems. System A: To provide new cars to the Guests Hosts (Protocol) to drive selected BC Seniors Games Guests to assorted Games Events and social functions. If new cars are not available, Hosts will be asked to provide their own cars. System B: To recruit, schedule and train volunteers as Courtesy Car drivers for the duration of the Games. You will require approximately 50 volunteers in total to meet your needs. Structure and operate a Courtesy Car Dispatch Centre of volunteers scheduled to drive new cars and their personal vehicles during the Games. These volunteers will provide service to Participants and will deliver lost/found items to their owners.

Volunteers in this area will raise environmental awareness of all Games volunteers, and coordinate an effective system of waste management at all Games venues.

Environment Yes

Warehouse volunteers are needed to assist with inventory before, during, and after the Games as well as distribution of signs before, and collection after the Games. This committee will also order and take delivery of new signs that are made in the host community. Games signs will be made professionally, to maintain a consistent colour logo and overall appearance. The Signs and Carpentry Chair will coordinate all this activity. Volunteers (with their own tools) will be asked to undertake small projects, and refurbish the Games inventory of podiums, stanchions, and other properties.

The purpose of this area is to ensure all BC Seniors Games venues have adequate parking control during the times of public usage. This will include determining which venues will require control, for which times and days, and how many spaces to reserve in each lot and the recruiting and scheduling volunteers to staff all parking lots as needed. The Chair will need to liaise with the local R.C.M.P. detachment or local City/Municipal Police Department Parking Passes for admission purposes into any controlled lots will have to be arranged.

This Chair is responsible for the accreditation of all Games participants and registered non-participants when they arrive in your community. This will include identifying and preparing an Accreditation facility, recruiting volunteers to accredit the participants, preparing all Registration kits prior to the participant’s arrivals. (Preparing individual Games accreditation badges, and inserting information collected from assorted Chairs, etc.).

The purpose of this area is to establish a Centre of operations to receive and record all Games results from all Games Sport venues. Duties of recruited volunteers will be to ensure results from each sport venue are delivered to the Results Centre, to enter all FINAL RESULTS DATA into the GAMES RESULTS PROGRAM, and to act as the participant accreditation tag replacement location.
